CounselorOS stores account, student, family, meeting, task, essay, invoice, and AI workflow data to provide the service. We use administrative, technical, and product controls to protect sensitive education-related information and support account deletion/export workflows.
Data we process
Workspace owners and invited users may enter account details, student and family contact details, academic profile information, essays, meeting notes, tasks, billing records, and support messages. Student and family data should only be entered by authorized practice staff with the required consent from the student, family, or school relationship.
AI-assisted workflows
CounselorOS can send relevant workspace content to AI providers to generate summaries, grading, recommendations, search results, and essay feedback. AI outputs are assistant drafts only; counselors remain responsible for review, accuracy, and final advice.
Audio transcription
If meeting recording is used, the app uploads audio for transcription and summary generation. Local recordings should be deleted after upload by the mobile client, and workspace owners remain responsible for obtaining recording consent before capturing audio.
Push notifications
Mobile apps may register device push tokens to deliver task, meeting, invite, and account notifications. Push tokens are tied to the signed-in user and can be removed by signing out, deleting the account, or contacting support.
Deletion and access requests
Mobile users can delete their account in Profile → Delete account. Users may also request deletion, correction, or data export for their account or workspace data by contacting support. Some records may be retained temporarily where required for security, billing, abuse prevention, or legal obligations.
